Class Roster Procedures

These procedures apply to Fall and Spring semesters only

Initial Class Roster*

An initial class roster will be provided to each faculty member prior to the beginning of the first scheduled class meeting.  Your roster will be placed in your mailbox. If you do not receive one, please check with the Adjunct/ Faculty secretary.

Second Class Roster

The second class roster will be provided to each faculty member approximately two weeks prior to the 45th Day certification date. Any enrollment changes, i.e. additions or withdrawals to the class must be noted on this roster. Student withdrawals must include the withdrawal reason code and the last date of attendance as required by Federal mandates.

45th Day Certification Roster

Instructors are required to certify student enrollment and attendance as of the 45th day of each semester. These certified enrollment totals are reported to the state and are the basis for funding. The 45th Day certification roster requires each faculty member sign and date the statement on the roster that attests to the fact each student listed on the roster is enrolled and attending the class. Record any change in student status on this roster. The 45th Day certification roster must be returned to the Enrollment Services Office by the date stated on the accompanying memo.

Note: Faculty should NOT code a student as “43- Never Attended” after the 45th Day Roster is submitted.

Purple Faculty Initiated- Class Schedule Change Form

For withdrawals or additions occurring prior to or after returning a roster please complete the purple Faculty Initiated Class Schedule Change Form, sign/date and return to Enrollment Services.


*NOTE: Summer Semesters

The information above applies to Fall and Spring semesters. During summer semesters, only an initial class roster will be provided to each faculty member prior to the beginning of the first scheduled class meeting. Changes in enrollment will be processed with Student or Faculty Initiated - Class Schedule Change Forms.
