Meeting Summary

 

I.  Minutes reviewed.  No changes.

 

II.EASIS Plus Demo

  1. Lauren led the group through demo. Followed different scenarios from handout (#14).  Comments:  “People have really worked hard to get this project moving.” , “Very inter-active, similar to what we have right now”
  2. Log In- use Enterprise ID (same as blackboard) Password- is your email password.
  3. If you have an account, please sign in and start playing with the system.  Remember this is real data and FERPA should be followed.
  4. You can get your Enterprise ID under the PAT tool on emcmail@maricopa.edu.  Scroll down to lower right of page says Ent ID. Everyone on campus has been assigned one.

 

III.  Crystal Reporting

           A. Crystal Reports has some nice features available (can use Excel, Word).  Same log-in for Crystal Reports.

 

IV.  Student Self-Service Focus Group

           A.  Tonya Drake is putting together a Student Focus Group at the District Office.  We will hear more on this soon.                                           

                 We definitely want to encourage self-service.

V.  College Readiness Checklist

A.      Team reviewed updated version.  New version is a bit longer and includes who is responsible area and deadlines. Team assigned and/or updated these areas on checklist.

B.       Team has decided to bring this checklist to each meeting and update accordingly.

C.       We will post a copy on the website.

D.      Students will be assisted with the new system through the A&R phone bank.

 

VI.  District Webpage

  1. Many things have been upgraded.  Check out the “What’s New?” link.
  2. Missing links to EASIS Plus but they are working on it.

 

VII. EMCC CIT Webpage

  1. Debra ran through a demo of the CIT page.  Based on previous feedback, she added information on how the system will help students.
  2. Project Plan has been posted.
  3. Minutes are now posted.
  4. Debra asked team to view the site and give her feedback.  APPLAUSE!

 

VIII.  Training Update

A.      Jennifer is being trained to be Functional Leader for Financial Aid & a Core Trainer (WLA-on-line help)

B.       Financial Aid is gearing up for heavy training and will be “full on” by early December & into January.

C.       Functional Leads will be trained to train other staff.  Some training will begin in December.  The bulk of training will be March & April.

IX.    Security Update

A.      Angie and Barbara are attending security meetings every other week now.

B.        Next Tuesday they will be creating security accounts in new EASIS Plus for Financial Aid staff.  These staff should have access by Wednesday.

X.  Student Help Desk Update

     A.  Meeting will be held to figure this out.

 

XI. Second Summer Session Start Date

A.      Team was informed that Scottsdale is delaying the start of their summer session by one week. To allow for glitches…  Team discussed and felt that it is more of a training issue and discussed potential problems with a delay (financial aid, credits, etc…)

 

XII  Functional Area Reports

A.       IT- Looking more seriously at Shadow Systems.  Looking at districts’ report list and sorting them out.  Seems very user friendly, easy.

B.        Recruitment- SOAR Council-considering having district produce a card w/ all campus events.  Reviewed idea of student record- who ever can enter them first claims the, we have to get use to always doing a record search before we enter new students to eliminate duplication.  Reviewed assigning recruiters in system i.e.: Lynn- SWSC students.  Assign regions.  They are changing the word programs to plans (new PS language).  Idea of possibly using A&R folks to help with batch card input/contact card info. Needs to be entered quicker, then follow up can begin.  Still concerns regarding duplicate records, this will be an ongoing discussion.

 

XIII. Next Meeting:  Thursday, December 16  @ 9:00-10:30am in the Komatke Conference Center

 

 

 

Decisions Made/Rationale

 

Team discussed delaying Summer Session start date.  The group felt that it is more of a training issue and discussed potential problems with a delay (financial aid, credits, etc…) Decision:  Go with existing start date.  If new system doesn’t work we can always continue to use current SIS.
