Renting Process

Please complete and submit the Facility Rental Questionnaire to learn what space is available and is best suited for the event.

EMCC requires that contracts and supporting documents be signed and submitted fifteen (15) days before the requested event date(s), and may require additional time for more complex events. 

Note that reservations can be made no more than twelve (12) weeks in advance.

A Facility Use Agreement will be created by the Business Services Office to specify the dates, times, and spaces to be rented for the event. The agreement includes fees, facility rules, procedures and risk policies to be reviewed and signed by a representative of the renting organization.

Additionally, during the fall and spring semesters parking options near the buildings may be limited. We encourage you to plan ahead and arrive early to secure parking. Explore our campus map.

If planning to invite a government or elected official to attend or speak at a meeting or event, please let us know in advance. This notification is essential for our reporting structure to College Police and the District Office Government Relations.

Please note: The total rental fee will be assessed based on the event requirements and is included in the agreement. Events that occur after 5:00PM or on Saturdays, have a 25% increase in the cost of the event space rental and additional fees may apply.

Rental Information

EMCC charges fair-market rates for use of its facilities which are determined by the Maricopa County Community College District (rates have been updated by the District and are in effect as of July 1, 2019 2023).

Commercial entities and members of the general public are charged standard rates, while government and community entities may be eligible for discounted rates, excluding services and equipment, if applicable. A "community entity" is a corporation or other legal entity whose business is non-commercial; is unrelated to the Maricopa County Community College District; and is recreational, educational, political, economic, artistic, moral, scientific, social, religious or for some other civic purpose in the interest of the community.

Fees must be paid in full no later than ten (10) business days prior to the scheduled event.

Please note that events that occur after 5:00pm or on Saturdays, have a 25% increase for the rental space.

The use of any additional facilities, personnel, or same day Wi-Fi requests that are not listed within the Facility Use Agreement and/or if additional clean-up is required for the rental space outside of the norm, the lessee will be charged the full fair-market value of the additional spaces used as well as the full facility staff hourly rate. Furthermore, if the event runs past the specified time in this agreement, the lessee will be charged by the full hourly rate for the additional time the space was used, as well as the overtime rate for any EMCC staff.

A Certificate of Insurance is required for all facility rentals prior to the event. Please see the Certificate of Insurance requirements for more information. 

  • Most personal parties, weddings, or celebrations cannot be accommodated.
  • Regularly recurring meetings, such as weekly or monthly meetings, will only be considered on a per-semester basis.
  • No food or drinks allowed in classrooms.
  • Possession or consumption of alcoholic beverages or gambling anywhere on MCCCD property is prohibited.
  • Smoking or use of tobacco products on MCCCD leased or owned property is strictly prohibited, including anywhere outdoors.
  • Carrying or possessing concealed weapons, any type of deadly weapon, edged weapon, dangerous instrument, or martial arts weapon is prohibited anywhere on MCCCD property.
  • College Police has the right to require additional officers be on duty for your event.  Fees may apply when additional officers are needed.
  • No advertising the campus location until the agreement is fully executed. Use of MCCCD’s logos is strictly prohibited. Additionally, the use of any of MCCCD’s names is prohibited except to the extent to identify an MCCCD facility as the location of the event specified in this Agreement.
  • Attendees must park in unmarked parking spots. If parking in a designated accessible space a valid accessible permit or plate must be displayed.
